Zoho CRM pricing in 2026: What the invoice adds that the plan page doesn't

I checked Zoho CRM pricing against its own licence calculator on the same day and found a 1,534 dollar gap between the sticker price and the real invoice.

Zoho CRM pricing in 2026: What the invoice adds that the plan page doesn't

Zoho's pricing page shows $1,680 a year for 10 users on Standard. Its own licence calculator put the real first year number at $3,214.40. Nothing on that page was wrong. It just wasn't the whole bill.

Zoho CRM runs $14, $23, $40, or $52 per user a month on annual billing (Standard through Ultimate), or $20, $35, $50, and $65 monthly, with a free plan capped at 3 users. Paying monthly is not one fixed penalty. It ranges from 30% more on Standard to 52% more on Ultimate, and the tier most small teams pick, Professional, gets hit hardest of the four.

The number that actually decides your bill sits below that table: support tier, storage, backup, training, and portal access are all priced separately, and Zoho's own licence calculator is the only place that adds them up.

The free plan has no time limit and no credit card requirement, and it holds up as a real working CRM for a three person shop.

Above that, Zoho also sells CRM Plus, a single bundled edition that adds its help desk, marketing, and analytics products under one login for $57 a user a month annual or $69 monthly.

I checked Zoho's own pricing page directly on 14 September 2026. It served Indian rupees by default. No US dollar figures were visible until a currency selector was used, which is worth knowing before you screenshot a number and send it to your finance team.

Two smaller routes exist alongside the four main editions. Bigin, Zoho's downmarket pipeline tool, runs $7 to $18 per user per month (Express through Bigin 360, verified directly on Bigin's own pricing page the same day), which is where a two person team belongs before they need CRM's full feature set.

Zoho One, the company's all apps bundle, gets named as the value route once you are running CRM Plus alongside three or four other Zoho products, but its own pricing page returned a 404 on the URL Zoho currently publishes, so no figure for it is stated here.

A CRM Flex edition also appears inside Zoho's licensing documentation, sitting alongside Standard through Ultimate. It is not on the public pricing page at all. Ask a Zoho rep directly if a partner or reseller mentions it.

The add on price list Zoho doesn't publish anywhere

Every guide comparing Zoho CRM editions stops at the sticker price. None of them show what Zoho's own licence calculator adds once you tick a box. Reading it directly on 14 September 2026, here is the full list, in the same annual USD terms as the edition prices above.

A Team User costs $108 a year. Extra file storage is $55 a year per 5 GB. Portal users, the licence for giving customers or partners a login, run $36 a year each. Extra data storage is $0.40 a year per MB.

A weekly automated backup is $276 a year, or $12 for a one time export. Online training runs $999 per person. Premium support adds exactly 20% on top of your licence fee. Enterprise support adds 25%.

None of that is optional if your team actually uses it, and the math compounds fast. Ten Standard seats at $14 a month list for $1,680 a year on paper. Add Premium support, one round of online training, and a modest storage bump, and the same licence totals $3,214.40, which is 91% more than the number on the pricing page.

A guide that quotes $1,680 and stops there is not lying. It is just quoting a number nobody actually pays.

Zoho's "save up to 34%" is four different numbers

Zoho advertises annual billing with a single banner: save up to 34%. Only one edition gets there. Standard saves 30% against its monthly price, Professional hits the advertised 34%, and Enterprise and Ultimate both save 20%, not 34%.

Run the same math per seat per year, and the gap widens. Choosing monthly instead of annual costs an extra $72 a year on Standard, $144 on Professional, $120 on Enterprise, and $156 on Ultimate.

Professional is where most growing teams land, and it is also the tier the "up to" banner is quietly describing. Standard saves less. Enterprise and Ultimate both save less too.

Where the AI features actually live now

Every guide describes Zia, Zoho's AI, as something locked behind Enterprise. That stopped being true. Zoho's current edition breakdown puts AI agents, cadences, and self service kiosks inside Standard, its cheapest paid tier.

CPQ and email intelligence sit at Professional, AI sales assistant and journey orchestration move up to Enterprise, and custom AI plus consulting and migration help stay Ultimate only.

That reshuffle matters because it runs the other direction from what buyers expect. A small team that only wants basic AI assistance does not need to jump two tiers to Enterprise anymore. Standard covers it.

Team Users: a restricted licence, not a cheap seat

Team Users are Zoho's cut rate licence. $9 a month billed annually, $11 billed monthly, available on every edition including CRM Plus and CRM Flex.

Per Zoho's own licensing FAQ, a Team User can view records across up to 10 of your CRM's modules but can only create, edit, and own records inside modules marked as Team Modules.

They cannot create, update, or delete individual records in your organization's regular modules, and Zoho's documentation states plainly that a Team User cannot "own records in CRM." Convert one to a regular user later and the change only runs one direction: there is no converting back. If your plan is to hand a Team User licence to someone who needs to actually work deals, you are one workflow away from needing a full seat anyway, at full price.

Portal users: the cheapest lever nobody talks about

If you need customers, vendors, or partners to log in and see their own records without buying them a CRM seat, that is a portal user, and Zoho changed how this works.

The old model gave 10,000 free invites, but only on one specific portal type. Zoho's own community announcement confirms the current model: 1,000 free portal user licences shared across all five portal types, available on Enterprise and Ultimate.

Go past that and an extra portal user costs $36 a year, confirmed directly against Zoho's own licence calculator on 14 September 2026.

A real customer ran into this gap directly. On Zoho's own help community, someone running a 15,000 user customer portal on the Ultimate edition asked, in plain terms, what that many portal licences would actually cost per month or year.

No answer. No number. If Zoho's own support forum cannot produce that figure on request, no independent guide is going to have it either, which is exactly why this section exists.

Zoho CRM pricing by who's buying

Running solo or with one other person. The free plan is not a crippled trial here. Three users, no expiry, and enough CRM to run a small pipeline. Move to Standard only once you hit the user cap or need the basic AI tools.

A small team that just crossed five people. Professional is usually the right stop, not Enterprise, since CPQ and email intelligence live there and the AI tools you actually want are already in Standard.

Selling to other businesses with a customer or partner login required. Budget Enterprise or Ultimate specifically for the 1,000 free portal licences, not for their other features.

Below that headcount, a portal add on can cost more than the seat it is meant to save you from buying.

A nonprofit. Zoho publishes nonprofit pricing separately from the standard ladder, and it is worth a direct quote request before assuming the public tiers apply.

Running CRM alongside three or more other Zoho apps already. This is the point where Zoho One's flat per employee pricing usually beats paying for CRM Plus and separate app subscriptions, though get a current quote directly, since Zoho's own pricing page for it returned a 404 this week.

How Zoho CRM pricing compares to Salesforce and HubSpot

Zoho's paid tiers run well below both. Standard at $14 a month sits under Salesforce's cheapest Core edition and under most of HubSpot's paid Sales Hub tiers, and that gap only grows once you reach Enterprise or Ultimate.
